This privacy policy outlines how ABSAC ("we," "us," or "our") collects, uses, and protects personal information of our members. We are committed to maintaining the privacy and security of our members' information.

We collect personal information that is relevant to your diving and membership with us, including but not limited to:

- Name

- Contact information

- Diving experience data

- Club and BSAC Membership information

- Whether your medical status permits diving

- Emergency contact details

- Payment records

Data Processing

Our Google Sheets app uses Apps Script to populate members' records from source files provided by governing bodies (BSAC). For administrative purposes, we process payment details from monthly fee .pdf documents, converting them to text using cloud processing technologies.

Access to Information

Access to the database is limited to authorised personnel only, including the club Chairman, Secretary, Treasurer, Training Officer, and Diving Officer. These individuals are responsible for managing club activities and ensuring your membership details are accurate and up-to-date.

Use of Slack Integration

The app integrates with Slack to retrieve necessary information for dive planning and conduct. The information retrieved is limited to what is essential:

- Experience data for planning dives (only available to Sports Divers and above)

- Emergency contact details for safety during club activities

Data Security

We take the protection of your information seriously and implement appropriate technical and organisational measures to safeguard it against unauthorised access, loss, or misuse.

Data Retention

We retain your personal information only for as long as it is necessary for the purposes outlined in this policy. When it is no longer needed, we will securely delete or anonymize your data.

Disclosure to Third Parties

We do not sell, trade, or otherwise transfer your personal information to any third parties. Your information remains within ABSAC and is used solely for internal purposes.

Changes to This Policy

We may update this privacy policy from time to time. Changes will be communicated to you through our regular club communication channels.
